PAY RANGE:

$20.00 - $25.00 per hour DOE

BONUS:

8% bonus potential based upon achievement of defined goals

401(K):

3% automatic safe-harbor match plus 80% elective deferral match of the first 5% contributed by the employee

SUMMARY

The Accounts Receivable Coordinator is responsible for managing and tracking customer payments, invoices, and collections for various stakeholders, such as members, exhibitors, sponsors, and advertisers. This role involves posting journal entries, ensuring the Accounting System and Association Management System are balanced, and managing past-due accounts.

 

ESSENTIAL FUNCTIONS

  • Collect Payments: Process payments (cash, checks, credit cards, electronic transfers) following financial policies.
  • Invoice Creation: Prepare and submit invoices to customers according to company practices.
  • Collections: Contact clients via phone, email, or mail to ensure timely payments, and address delinquent accounts.
  • Payment Tracking: Record payments in the accounts receivable ledger and reconcile accounts to ensure accuracy.
  • Bank Deposits: Transport and make bank deposit payments.
  • Reporting: Generate reports on account status, profits, losses, and provide other requested financial statements.
  • Discrepancy Resolution: Investigate discrepancies in invoices or payments.
  • Customer Inquiries: Address billing questions, past-due accounts, and other concerns from customers.
  • File Maintenance: Keep customer files updated with accurate information.
  • Collaboration: Work with sales, customer service, and finance teams; create batches for credit card payments.
  • Maintain Accounts Receivable Records: Ensure aging is up to date, credits and collections are applied, and uncollectible amounts are recorded.
  • Ledger Audits: Review ledgers for accuracy, including billing addresses and invoice numbers.
  • Record Updates: Maintain and update customer records, including changes in names, addresses, or organizational details.
  • Communication: Relay information regarding payments, past-due status, or incoming wires to internal team members.
  • Confidentiality: Keep private and safeguard company information.
  • Continuous Improvement: Stay updated on best practices and new developments through training.

 

Other Job Functions

  • Assist in generating monthly billing statements and reconciling revenue accounts with the Controller.
  • Perform other related duties as assigned.

 

EDUCATION and EXPERIENCE:

  • High school diploma or equivalent required and
  • Minimum of two years of related experience required.

 

TRAVEL

May be asked to travel once every other year for the Annual Conference.
